Altis Recruitment is grateful to partner with a respected organization in the financial services sector to support the recruitment for a Manager, Estates for a full-time, permanent position. This role offers the opportunity to lead a small, specialized team dedicated to providing exceptional estate support to clients, executors and advisors.

Reporting to the Director of Operations, the Manager, Estates will guide a team of three (one Senior Administrator and two Administrators), helping shape the future of the Estates function by refining workflows, strengthening relationships with internal partners, and enhancing operational efficiency.

This position is ideal for an experienced estate professional who thrives in a collaborative, fast-paced environment and is passionate about improving systems and supporting people through meaningful work.

This opportunity will work in a hybrid capacity working 2 days a week on site with Thursday as a required day on-site each week. They also offer a flexible working arrangement with hours of 8am - 4pm or 9am - 5pm Monday - Friday. The organization is open to considering folks open to working out of their Toronto or Vancouver offices. 

Key Responsibilities

  • Lead, mentor, and develop a small Estates team through regular one-on-ones, coaching, and performance management.
  • Oversee daily operations of the Estates function, ensuring accurate, compassionate, and efficient client service delivery.
  • Act as a subject matter expert on estate administration, providing guidance and oversight on complex files and legal document interpretation.
  • Partner with internal stakeholders, including private wealth advisors and operations teams, to enhance coordination and ensure consistent, high-quality service.
  • Identify and implement process improvements to increase accuracy, efficiency, and client satisfaction.
  • Support training and knowledge sharing within the team to strengthen expertise in estate administration and registered plans.
  • Monitor workload and capacity, using data and feedback to identify areas for improvement or additional support.
  • Serve as a key point of contact for estate-related inquiries, maintaining a high level of professionalism and empathy. 

Qualifications & Experience

  • Post-secondary degree or diploma in Accounting, Finance, Business Administration, or a related field.
  • 5+ years of progressive experience in estate administration, wealth operations, or financial services, with a focus on registered plans and estate settlements.
  • 3+ years of leadership experience, ideally managing a small team.
  • Strong technical understanding of estate and trust processes, and familiarity with related legal and tax documentation.
  • Experience working within ERP systems (SAP preferred) and proficiency in Microsoft Excel (pivot tables, vlookups).
  • Exceptional attention to detail, analytical thinking, and problem-solving abilities.
  • Excellent communication skills with a collaborative, team-oriented approach.
  • Demonstrated ability to adapt in a dynamic environment and manage multiple priorities effectively.
